Extracting and Returning Clients: Step-by-Step

Written by Kate Haznaw (LCSW/LICSW)

Here’s how to extract a client for a private session and return them to the group. Follow these steps to ensure safety, privacy, and a smooth workflow for everyone involved.

Step 1: Identify Client Needing Extraction

Notice if a client is in distress, has an A/V issue, or needs a private conversation. Decide if extraction is necessary for their safety or comfort.

Step 2: Consider Group Needs

If you extract a client to a private room, the rest of the group will still be in the group space. Therefore, consider the needs of the group before you proceed with the extraction. If you have a co-facilitator, they will remain in the group to support the remaining participants. However, if you do not have a co-facilitator, assess whether it is safe to leave the rest of the group unattended. In such cases, you may want to reach out to colleagues for assistance. A float could either extract the client and check in with them or take over the group while you handle the extraction.

Step 3: Initiate Extraction

Hover over the client's video and click the Bring to Private Room icon.

Step 4: Conduct Private Session as Needed

Address the client’s needs in the private room, whether for safety, technical support, or a confidential discussion.

You will have access to all the resources of the individual platform, including the activity bank for collaborative safety planning and distress tolerance skills.

TIP: Use the Activity Bank topic filter for Crisis Prevention or Distress Tolerance.

Step 5: Return Client to Group Session

When ready, use the platform controls to push the client back into the group session. Let the client know what to expect.

Summary

Extraction and return workflows help you respond quickly to safety or privacy needs, keeping sessions therapeutic and well-managed.
